Exchange...

Hey everyone,

We took on a client with about 300 users all on one Exchange 2007 mail server. Currently there is no policy of quotas etc. Many users are exceeeding 8gigs. They work in a Terminal Server 2003 envionment exclusively, plus Active Sync devices (Iphones and Blackjack 2's)

The boss wants me to me to...
1) Automate the creation of Archive Folders in each account
2) And start forcing user to archive once a month or so.
3) Develop training for users on this
4) Do write up explaining our plan to the mangaement of this company.

Anyone have any docs or useful input on this before I get started?

You could set a policy to help with this via Exchange 2007, but it's still best to use a 3rd party archiving product such as Enterprise Vault.

If you're concerned about large mailboxes only, I would suggest using mailbox limits.

Alright, status update.

I pulled in the Outlook ADM files from the Office 2003 resource kit. I found some interesting items. But nothing seems to do what I want.

Basically,
1) I need to automate the creation of an Archive Folder for each user on the network drive
2) Configure group policy to archive on a regular basis and prevent users from overiding this

Just can't seem to find a way to do this automatically. Any ideas?

We have $0 budget btw.

Create a folder call "Archive" under "Managed Folders" in the EMC.

2) And start forcing user to archive once a month or so.

Setup a "Mailbox policy" for all folders for all users that begins Archiving items older than a predetermined date; agreed upon by your senior level management. The retention rate for the archive folder should be longer than the others.

3) Develop training for users on this

Setup a Sharepoint site explaining new policy. And periodic emails with users education. Additional directions showing users how to empty deleted items and sent items.

4) Do write up explaining our plan to the mangaement of this company.

Should be pretty simple.

PST files stores over a network has been unsupported for over a decade. Just a bad idea.

You can enable/disable the AutoArchive feature via Group Policy.
